The challenge
A three-operatory dental practice in Arizona ran its front desk with one coordinator. During the morning rush and the lunch hour she was always choosing between the patient at the counter and the ringing phone — and the phone usually lost.
The practice didn't know how many calls it was missing, because missed calls don't show up on any report. When we pulled the phone records, the picture was clear: at peak times close to a third of inbound calls went unanswered, roughly 35 a week. A meaningful share were new patients — each worth well over a thousand dollars in first-year treatment. Most never called back; they booked with the practice down the road.
What we built
We deployed an AI voice agent on the practice's existing phone line. We kept the number — nothing changed for patients except that someone now always picks up.
The agent was scripted around the practice's real call flows:
- New-patient calls — collects contact and insurance details, explains the new-patient process, and books the first appointment against the live calendar.
- Scheduling — books, reschedules, and confirms existing appointments.
- After-hours — evening and weekend callers get a real conversation and a booked slot instead of voicemail.
- Escalation — anything clinical or urgent is routed straight to the front-desk team with full context.
The setup went live eight days after kickoff.
The results
Within the first month every inbound call was being answered — including the peak-hour and after-hours calls that used to hit voicemail. The coordinator stopped fielding constant interruptions and could focus on patients in the office.
The practice booked 19 additional new-patient appointments a month from calls it would previously have lost. Notably, 22% of new bookings now come from outside office hours — demand that simply wasn't being captured before.
What it changed
The practice didn't add staff and didn't change its software. It stopped losing the patients who were already trying to reach it.
The demand was never the problem. The patients were calling. We just made sure someone answered.
